To ensure the efficient running of our clinic and to respect the time of our medical and clinical professionals, we operate the following cancellation and rescheduling policy.
Deposit Requirement
A £100 deposit is required at the time of booking to secure your appointment. This deposit will be deducted from the total cost of your treatment on the day of your appointment.
Cancellation & Rescheduling
- Appointments may be cancelled or rescheduled free of charge provided that at least 48 hours' notice is given prior to the scheduled appointment time.
- For cancellations made within 48 hours of the scheduled appointment time, the £100 deposit is non-refundable.
- For rescheduling requests made within 48 hours, patients are permitted one (1) complimentary rescheduling of the appointment. Any subsequent rescheduling or cancellation within this period will result in the £100 deposit being forfeited.
- Failure to attend an appointment without notice (no-show) will result in the £100 deposit being forfeited.
Late Arrivals
- If you arrive more than 15 minutes late, we may be unable to accommodate your appointment due to clinical scheduling constraints.
- We will make every reasonable effort to assist with rescheduling your appointment, subject to clinical availability. Same-day rescheduling cannot be guaranteed.
- If the appointment is rescheduled following a late arrival and you arrive more than 15 minutes late again, the appointment may be cancelled and treated as a late cancellation, and the deposit will not be refunded.
Medical & Clinical Discretion
In exceptional circumstances, the clinic reserves the right, at its sole discretion, to waive cancellation fees. Such circumstances may include, but are not limited to:
- A sudden medical emergency or serious health condition affecting the patient (medical evidence may be required);
- Unforeseeable events beyond the patient's reasonable control (such as severe transport disruption or extreme weather conditions);
- Appointment changes or cancellations initiated by the clinic;
- Any other exceptional circumstances deemed reasonable and necessary by the clinic.
Any decision to waive cancellation fees will be made by the clinic on a case-by-case basis and shall be final.
Refunds
Deposits are non-refundable for cancellations within 48 hours but may be transferred to a future appointment at the clinic's discretion.
